How to Organize Your Way to a Balanced life Part 3

In part 2 of the series, we talked about time wasters. If you have successfully identified and eliminated your time wasters, the next step is to find and set your priorities and roles, write down your goals, and chart your progress to become more productive and efficient with your time.

1) Set your priorities: Differentiating what's important from what is not (First things First).

The key to balance in life is finding what our priorities are and centering our lives around them. We need to streamline our lives by eliminating the unnecessary, and setting our priorities straight.

Whenever I think of priorities, I get reminded of Stephen Covey’s four Quadrants from his book “The seven habits of highly effective people”.

Mr. Covey categorizes tasks (or priorities) into four quadrants:

QI - Important and Urgent: This quadrant includes urgent activities that you just can’t ignore, like crisis, projects with deadlines, crying baby etc.

QII - Important but Not Urgent: : This quadrant includes planning and working on your goals, exercising, strengthening relationships, etc.

QIII - Not Important but Urgent : This quadrant includes distractions like phone calls

QIV - Not Important and Not Urgent : An example is time wasters.

The highly effective people are the ones that spend more time and effort on the second quadrant (Important but not urgent). Ask yourself “ What can I do today that will make a positive difference in my life tomorrow?”

When setting your priorities, keep the big picture in mind and review your priorities as often as you can. Life changes with time and so will your priorities so learn to stay flexible.



2) Identify your roles:



Balance, peace, and joy are the fruit of a successful life. It starts with recognizing your talents and finding ways to serve others by using them. Thomas Kinkade  (setting priorities and focusing on what matters.)





We all have roles as individuals, and those roles can vary from being a family member, spouse, parent, child, to your role at work or in your community. Sometimes we put too much time and effort into one role, and we neglect the other roles. Identify your roles and make your goals aligned with these roles.

3) Write down your goals:

After you define your priorities and roles, you need to make a plan for your goals. Goals are like a journey to a destination. If you don’t know where you are heading and don’t make a plan on how to get there, you will be lost aimlessly and forever. To become an achiever, you need to write down your goals and start measuring your progress.

Most of us have goals that we would like to accomplish. Some can be as small as organizing your pantry or as big as getting a PhD. But no matter what your goals are, if you don’t write them down, they will be hard to attain.

The importance of writing down your goals:

A study done at the Dominican University by Dr. Gail Matthews about goal achievement revealed that people who wrote down their goals and shared them with a loved one were 33% more likely to achieve their goals than those who did not. Writing down your goals takes your thoughts and dreams to a new and higher level. They become concrete and a commitment to yourself; I found that to be true even with daily to-do tasks. If I don’t write them down, I go about my whole day feeling a heavy weight on my shoulder and I become irritated not knowing what I need to do first. When you don’t write down your goals and tasks, you start feeling like you have many things to accomplish, yet no time to get them done. It becomes a mental overload. To break down this mental overload, you need to write down your goals. Writing down your goals frees up your mind “to think about things rather than of things”.

In the book “Getting Things Done”, David Allen; a time management guru, outlines a process for accomplishing tasks in 5 steps:

1)  Define the purpose

2)  Envision the outcome: Begin with the end in mind.

3)  Brainstorm: How can you get from here to there?

4)  Organize: Sort and prioritize

5)  Identify the next action

You need to decide what you want to do or get accomplished (your goal) then figure out what you need to do to achieve that goal.

Goals can be short term (one month or less) or long term goals (6 months or more).

Long term goals: Any goal that takes 6 months or longer to accomplish is a long-term goal. They are the most important and meaningful goals. But given that they are usually far in the future we tend to feel overwhelmed and unable to focus and get them done. That’s where you need short-term goals. You need to be able to break down your long-term goals into short-term goals. Take baby steps, don’t attempt to take one giant leap at a time.

I recently signed up to run a half marathon. I have never even ran a 5K before so it might not seem as a big deal to some of you but to me it is. A half marathon entails running/walking 13.4 miles. It would be very unrealistic of me to get up tomorrow and try to run the 13.1 miles. So I break down this goal into mini goals. Each week, one of my weekly goals is to run 1 mile longer than in the previous week.

Short-term goals:

Daily “To-Do-List”: List three important tasks everyday and a few small ones then focus on getting the first three on your list done before you move on to the small ones. Your most important daily task is a task that will move you closer to your weekly goal. If you start a new task before you get the previous one done, you will lose focus and become overwhelmed.

Procrastination:

“Eat a live frog first thing in the morning and nothing worse will happen to you the rest of the day.”

I am usually a procrastinator. I keep on thinking that I just need to sit down, have a plan of attack, and get myself in the “right mood” to accomplish that unpleasant task that I am dreading. Well, that merely translates to a big to-do list with many things that keep on getting pushed back because I just can’t find “the perfect moment”. Yep, perfectionism. Didn’t I mention that it was a life leech. What helps with procrastination is focusing on those unpleasant tasks first thing in the morning; if you start by eating a frog then everything else will seem like a cakewalk. When I get my most dreaded task done first thing in the morning, the rest of my day go way smoother and calmer and I feel like I just climbed a mountain (well, sort of :)).

So to start your day and finish it feeling more productive, you need to:

  1. Write down your to-do-list every day and prioritize: I usually do that the night before, with three important tasks at the most with one task that will get you closer to your goal.

  2. Start with one task and get it done before you move on to the next task on your list. FOCUS, FOCUS, FOCUS. Do not multitask. When we try to multitask, our attention is pulled in different directions then we lose focus and become unproductive.

  3. If you are a procrastinator, start with your most dreaded or hardest task first.

Thanksgiving Menu with a Make Ahead Plan

Thanksgiving day is one of my favorite holidays of the year. I especially love the traditional Thanksgiving menu and I tend not to veer off much from it.

Here is an outline of my Thanksgiving Menu this year with a Make ahead plan:

Appetizers:

Deviled Eggs

Mozzarella Tomato Tartlets

Platter of cheese, crackers, and veggies

Main Menu:

Herbed Turkey

Salad with cesar dressing

Creamy Garlic Mashed Potatoes

Green Bean Casserole

Mushroom and Walnut Stuffing

Sweet potato Casserole

Cranberry Sauce with Orange and Rosemary

Corn

Dessert:

Pumpkin Cake
Make Ahead Plan:

3-4 Days before Thanksgiving day:

Thaw Turkey

2 days before:

Make the cranberry sauce, refrigerate

Toast the cubed bread for the stuffing

1 day before:

Cook the onions and celery then assemble the stuffing with no eggs and liquids.

Prep the turkey.

Make the deviled eggs, pumpkin cake,  and cook the wild Rice.

Prep Dinner table

Thanksgiving Day:

Bake the turkey (I use a Turkey Roaster Oven)

Cook both potatoes and sweet potatoes

Prepare Appetizers

Assemble the green bean casserole then bake

Assemble the stuffing then bake

Assemble the sweet potato casserole then bake

Prepare Mashed potatoes and salad

Heat Corn and Cranberry Sauce

Make Gravy

Serve Dinner :)

Easy Tamale Bake

This is an easy and yummy dish that is sure to please everyone in the family.

Ingredients


  • 1 Tbsp of Olive oil

  • 1 lb of ground turkey or ground beef

  • 3/4 to 1 Jar of salsa (depends on your taste)

  • 1 tsp of cumin

  • 2 tsps of Chili Powder

  • 1 can of black beans

  • 1/2 can of corn

  • 2 Corn bread Mix (You need eggs and milk according to package)


Instructions



  1. In a large skillet, Brown the ground meat with the olive oil in medium heat. Drain the fat then return to skillet.

  2. Add the salsa, the cumin, and the chili powder.

  3. Cook for 2 minutes then add the black beans and the corn. Stir to combine.

  4. transfer to a lightly greased (I used butter spray) rectangular oven safe dish.

  5. In a large bowl, combine the corn bread with eggs and milk; according to directions.

  6. Pour the corn bread mix on top and bake in a preheated 400 oven for about 20 - 30 minutes until the corn bread is fully cooked (brown).

  7. Enjoy!

Some days I used to feel like I was hardly able to accomplish anything even though I had been juggling the cleaning, cooking, changing diapers, and other obligations with no break in between. Moreover, by the end of the day, I was exhausted, stressed out, and overwhelmed. Isn't that how many of us feel nowadays? Instead of enjoying life, we become overworked, overextended, overburdened, anxious, and stressed.

Shift your way of thinking:

After many months of feeling this way, I decided to shift my way of thinking. I needed to be more efficient with my time so that I can enjoy a clean house, play with my kids, and work toward achieving my personal goals. Isn't there a saying after all that being a fool is doing the same thing over and over again expecting different results?.

While I am adamant about keeping my house clean and organized, I also believe in the importance of living life with a purpose. Life is too short to be lived worrying about a perfectly organized and clean home. As moms, we sometimes forget about what's important, and our lives become all-consumed with no end-results . We are at the mercy of our children's needs, our household chores, social events, play dates, and other mommy obligations. But in order to live a balanced and fulfilling life, we have to set our priorities straight. We can't just put our focus on our daily chores and let it consume our day. We need to learn to manage our time better to do what matters. We need to start writing down goals and working towards achieving them. We need to live our lives to the fullest and with a purpose.

Now, don't get me wrong, I am not saying that you should live in a messy, dirty, cluttered, and disorganized house. The gist of this series is NOT to convince you to abandon your quest to maintain a clean home or anything else that matters to you, rather, to shift your thinking from perfectionism to excellence and from being overwhelmed to a feeling of accomplishment.

Time Wasters:

Those who make the worst use of their time are the first to complain of its shortness. Jean de La Bruysre

We all have 24 hours in our day but somehow some people manage to accomplish many things while others complain that "there isn't enough time". To accomplish more, you need to become more efficient with your time. And before you become more time efficient,  you have to first identify the time wasters in your life and work at improving them or eliminating them.

Here is a list of a few time wasters, that can really eat into your time if you let them.

  • Perfectionism:

I believe that the biggest time waster is seeking perfectionism. It is a big roadblock between you and a full life. Perfectionism is a life leech and a huge time waster; you have to stop chasing it. Perfectionism is NOT attainable. It is the cause of procrastination. Instead, focus on what you would like to accomplish, NOT on getting everything perfect. Learn when good is good enough, and deliver.

  • Internet: You can really get carried away, and spend too many hours every day on the Internet. Set a limit to your internet usage that includes email, facebook, surfing the internet, etc...

  • Phone: Same as the internet. It is one of those daily interruptions that can be a time waster, especially if you have to answer every time the phone rings. Let the voicemail pick up the call. If it's an emergency, they will call you again, or leave a mesage.

  • Picking up toys while the kids are still playing: You put them away and minutes if not seconds later, they are out on the floor again.

  • Shopping: Shopping can be a big waste of time if you always go shopping without a shopping list. Before you head out shopping next time, make a list of what you NEED to buy and try to stick to your list as much as possible. It will cut the time spent shopping and you can get other things done afterwards. Try to set aside a day a week for shopping. This will help free up your time for the rest of the week.

  • The News: I used to be a big news junkie. I needed to know everything, I followed every story. What did I gain from that? Not much. I later realized I can check the news once a day for 5 minutes, skimming for the important stories, and still keep up to date on the latest important news. That’s all it takes to see what’s happening around the world. You do not even have to waste your time reading the whole article. The title should be enough to keep you on the loop on what’s going on.

  • Gossip: whether it is celebrity gossip or talking about others. If you create a more interesting life, you wouldn’t want or have the time to care about meaningless stories.

  • Complaining and worrying that you don't have enough time to get things done:


" This constant unproductive preoccupation with all the things we have to do is the single largest consumer of time and energy.” - Kerry Gleeson.

When you constantly worry that there are many things you need to get done and not enough time to accomplish them, you create some sort of mental block that stands in the way of accomplishing your goals and the things you need to get done.

  • TV: TV can be a big distraction that will eat your time if you don't set any time limit to it. You get carried on by the next show and before you realize it, you spent a couple of hours glued to the TV and time just flies by. Moreover, TV can be harmful to your brain. Watching TV has been linked to numerous brain disorders such as dementia and Alzheimer's and increases the risk for ADHD. I am not advocating to stop watching TV altogether but rather to limit your TV viewing to no more than one or two hours a day combined. You can replace some of your TV time with reading, which can help stimulate the brain. Finally,  talking to your spouse instead of watchnig TV can help strengthen your relationship.


There are countless other time wasters and they differ with each person. The first thing you need to do is identify YOUR time wasters, then take action (eliminate or set limits). Remember time is precious so use it wisely.

Salad Nicoise (I will make it with canned tuna in Olive oil instead of seared Tuna)

Beans in a pot and Rice, with shredded lettuce and tomatoes, and steamed broccoli

Rotisserie chicken, Rice, and salad

Snacks:

Whole Wheat Pumpkin Bread

Pears, grapes, raisins, and Mozzarella Sticks
